How to Check Outstanding Receivables and Payables from Anywhere

Follow up dues faster: how to see party-wise outstanding, bill-wise ageing and payables from TallyPrime on your phone, and a simple weekly collection routine.

For most small and medium businesses in India, cash is not lost to bad customers — it is lost to slow follow-up. A bill that is 30 days old gets paid; a bill that is 120 days old gets argued about. The difference is usually whether someone looked at the outstanding list in time.

What "outstanding" really tells you

In TallyPrime, outstanding reports show every bill that is not yet fully settled, party by party. Two views matter most:

  • Receivables — bills your customers have not yet paid.
  • Payables — bills you have not yet paid to suppliers.

Within each, ageing groups the amount by how old the bills are — for example 0–30, 31–60, 61–90 and over 90 days. Ageing is what turns a long list into a to-do list.

Why owners rarely see it in time

The outstanding report sits inside TallyPrime on the office PC. The owner is usually not at that PC — they are meeting customers, at the factory or on the road. So the report is checked at month end, when the slow payers are already slow.

Seeing outstanding on your phone

With SwastikOne, the same outstanding data from TallyPrime is available in your browser. On the phone you can:

  • open receivables and see the parties with the largest and oldest dues first;
  • tap a party to see its bill-wise details and its full statement;
  • check payables before you approve a supplier payment;
  • download the list or a party statement as a PDF and send it to the customer.

The figures come from TallyPrime and are kept in step while TallyPrime runs, so you are not chasing a payment that came in this morning.

A simple weekly collection routine

  1. Monday morning: open receivables, sorted by the oldest bucket. Pick the top five parties.
  2. Call or message each one, with their statement ready on your phone.
  3. Wednesday: check which of them have paid; note promised dates for the rest.
  4. Before giving new credit: look at the party's outstanding first. It takes ten seconds on the phone.
  5. Friday: review payables so that suppliers are paid on time and you keep your own credit good.

Keep the data clean in Tally

Outstanding reports are only as good as the entries behind them. A few habits help:

  • Enter sales and purchase invoices with bill-wise details (new reference), and receipts against the right bill (against reference).
  • Avoid "on account" receipts unless the customer really did not say which bill they paid.
  • Set realistic credit periods for parties so ageing reflects what was agreed.

Frequently asked questions

Can my sales team see outstanding without seeing everything else?

Each person gets their own login, and you decide what they are allowed to do. For people who only need to look, a Read Only plan keeps Tally unchanged.

Does this replace sending reminders from Tally?

No — it simply puts the numbers in your hand wherever you are, so the follow-up happens on time.
